OrchestriX PMO Pty Ltd ("OrchestriX", "we", "us") operates the OrchestriX PMO platform and KEN AI assistant. This Privacy Policy explains how we collect, use, store, and protect your personal and organisational data in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
We collect: (a) account information (name, work email, organisation name, workspace ID); (b) project data you input into KEN (project details, RAID items, documents, schedules); (c) AI conversation logs between you and KEN agents; (d) artefacts generated by KEN; (e) usage metadata (login times, feature interactions, browser/device type).
Your data is used solely to: provide and improve the OrchestriX PMO service; route your requests to the correct KEN AI agents; generate and store project artefacts in your Review Queue; send product update emails (you may unsubscribe at any time); fulfil our obligations under enterprise contracts.
All customer data is stored in Australia (Sydney region). We do not transfer your project data to servers outside Australia without your explicit written consent. AI inference calls to Anthropic's API transmit only the content of your KEN conversation — no persistent project data is retained by Anthropic beyond the inference request.
We implement SOC 2-aligned security controls including: TLS 1.3 encryption in transit; AES-256 encryption at rest; role-based access control; audit logging; and regular penetration testing. See our Security page for full details.
Active account data is retained for the duration of your subscription plus 90 days. Upon account closure you may request a full data export and deletion within 30 days. Audit logs are retained for 12 months for compliance purposes.
Under the APPs you have the right to access, correct, and request deletion of your personal information. To exercise these rights, contact privacy@orchestrixpmo.com.
